REIMBURSEMENT OF MOVING EXPENSES
FOR APPOINTEES TO STAFF PERSONNEL POSITIONS
I. REFERENCES:

II. POLICY:
Removal expenses are those costs associated with moving an appointee
to the University from another location (not another University of
California campus) within the continental United States.
A. Eligibility:
Each request for payment of removal expenses is to be evaluated
individually by the Personnel Office in terms of the recruiting
difficulty for the position and may be approved only if such
payment is necessary to fill the position. Only positions of a
professional, technical, or administrative nature that require
specialized training or experience may be considered.
B. Approval:
Based upon the certification of the Personnel Manager that such
payment is necessary for the recruitment, the Chancellor may
approve the payment of all or a portion of the actual removal
expenses. No commitment may be made to an applicant without the
prior approval of the Chancellor or his delegated
representative (Personnel Manager).
C. Payable Removal Expenses:
When removal expenses are approved for an appointee,
reimbursement shall apply to the following costs:
1. Packing and freight (but not storage) and insurance of
normal household goods, when properly supported by
invoices and receipts.
(Note: In accordance with State Board of Control Rule 735,
household goods or effects include personal property such
as furniture, clothing, musical instruments, household
appliances, and other items which are usual and necessary
for the maintenance of a household. Household goods or
effects specifically do not include automobiles or other
motor vehicles; farm tractors, implements and equipment;
livestock, trailers, animals raised for profit by the
employee or his/her family; boats, belongings related to
commercial enterprises engaged in by the employee or
his/her family; fuels; or bricks, sand, ceramic wall tile,
wire fencing or other building materials.)
2. Air-coach transportation, or
3. If new employee is not traveling by air, transportation
costs equivalent of air-coach transportation, and meals,
with the following limitation:
a. One-half of adult meal allowance for children 3 to 12
years;
b. One-fourth of adult meal allowance for children under
3 years.
The cost of lodging en route is not provided.
D. Repayment of Removal Expenses:
If the appointee terminates his University employment before 18
months of continuous service, a portion of the expenses
reimbursed by the University must be returned in accordance
with the following schedule:
Prior to Proportion to be Returned
12 months of service one-half University share of
removal and travel expense
18 months of service one-third University share of
removal and travel expense
